Last updated: July 2026. This page explains how vibecq handles information in your organization's workspace. Your company controls who runs the product, who has access, and how long records are kept.

Information we store

Your team. When someone creates or joins a workspace, vibecq stores their name, email, role, and sign-in activity so your organization can manage access securely.

Candidates. When someone completes the assessment, vibecq stores their name, email, in-office availability answer, their responses to each question, and the score profile your reviewers see — overall fit, work-style positions, and personality bands. Candidates do not create accounts and never see their scores.

Activity record. vibecq keeps a log of important actions in your workspace — who signed in, who viewed or exported a candidate, who changed settings, and who deleted records — so you can account for access over time.

Who can see it

All hiring data stays inside your organization's workspace. It is never shared with other vibecq customers. Within your team, Admins manage people and settings; Recruiters and Viewers can review candidate results according to their role. Only Admins can permanently delete candidate records.

How long we keep it

Admins can set how long candidate records are kept. When records pass that period, they can be removed in a cleanup run. Admins can also delete an individual candidate — including their submissions, answers, and scores — at any time. Activity records from before a deletion are preserved.

If a candidate starts but does not finish, that in-progress session is kept for up to seven days so they can resume. Abandoned sessions older than that can be removed and are never scored.

What vibecq does not do

  • Sell candidate or team data to third parties.
  • Send automated email on your behalf — invite and password-reset links are generated in the product for your team to share directly.
  • Automatically pass or fail candidates. Scores are for your reviewers to interpret; the product never labels someone hired or rejected.
  • Show candidates their scores or the points behind individual answers.

Your organization's role

Your company is responsible for keeping access secure, deciding who receives the assessment link, and complying with hiring and privacy laws that apply to you. Treat the assessment link as confidential — anyone with it can start a submission.
